3 simple and cost-effective ways to kick-start sustainable event practices

Sustainability in events has become more sophisticated over the years and it can be daunting if you have only just started to incorporate some of these elements into your events.

The myriad benefits of producing sustainable events can include gaining respect for your commitment to manage a genuine concern with accountable actions for a cause; aligning your brand with other like-minded organisations; attaining economic savings in the long run especially in the area of reducing, re-purposing, recycling and re-using certain elements and aspects of your events; and having a positive message to communicate with and the opportunity to build a community within your target audience who shares your company’s vision.

However, event professionals should understand how introducing a sustainability plan to their meetings will fit into their company or client’s mission and values.

Destination management company, Pacific World, highlights some fundamental questions to consider before crafting a sustainability policy:

  • What is your company’s objectives for incorporating sustainability elements into events?
  • How much will your company invest in sustainable events?
  • How open is your company’s mindset and attitude towards exploring new ways of doing things and changing policies to include sustainable practices in events?
  • What tools are your company putting in place to track the effectiveness of your sustainability efforts and what are the benchmarks of successful sustainable events?

Having established an understanding from the above fundamentals, here are the three ways to kick-off sustainable events:

  1. Work with venues with green credentials
  • Specify your company’s minimum sustainability guidelines and have the venues demonstrate their sustainability practices by submitting their:

 - Environmental management programme or certification.

 - Recycling and waste management policies.

 - List of local and community partnerships and sustainably sourced food practices.

 - Any report tailored to track sustainability impact per event.

  1. Make sustainable food and beverage choices within the budget that will also benefit the well-being of the participants and the planet. Few suggestions to consider when selecting food and beverage options:
  • Work with locally sourced and fresh seasonal ingredients.
  • For destinations with no local farming, use programmes to offset carbon foot print.
  • Use responsible seafood from sustainable fisheries.
  • Offer vegetarian and vegan as healthy dietary choices at every meal.
  • Order food quantity based on the history of the attendees’ preferences and behaviours.
  • Work with a trusted charity to donate unused food.
  1. The sustainable way of marketing your events
  • Reduce print material and use digital signage.
  • Use a proven event app and pay for strong data connectivity at the venue so participants will be motivated to use it.
  • Use the same event app for Q&A and surveying functionalities.
  • Increase electronic communication frequency and promote the benefits of using the event app if the participants are less savvy technologically.
  • Communicate with participants your sustainability efforts and the reasons why your event has them and how the participants can contribute towards it.
  • Share your partners’ and suppliers’ sustainability efforts with the participants so that they are motivated to be part of your holistic approach.
  • Encourage participants to stay healthy by providing information on walking trials near their hotels and the venues.
  • If materials have to be printed, use sustainably sourced paper and print on both sides.
